Executive Assistant to CTO
We are on the lookout for an experienced Executive Assistant to join us and make a meaningful impact by supporting our Chief Technology Officer (CTO) in driving the organisation’s success.
Key Responsibilities:
- Calendar Management: Efficiently manage and organise the CTO’s schedule, including appointments, meetings, and events to ensure effective time utilisation.
- Meeting Coordination: Arrange and prepare for meetings by gathering necessary documents, coordinating conference calls, and managing logistics.
- Attend meetings (travel may be required) with the CTO to take actions and minutes as required and ensure follow-ups and cascade of information to the tech team.
- Communication: Draft, review, and send correspondence on behalf of the CTO with clarity and professionalism.
- Travel Arrangements: Plan and coordinate travel, including booking flights, accommodation, and preparing detailed itineraries.
- Provide support as required to the CTO’s direct reports.
- Coordinate cross-departmental communications and ensure alignment with the CTO’s objectives.
- Assist in preparing materials for meetings, leadership updates, and external stakeholders.
- Support with projects as and when required.
- Expense Management: Monitor, track, and process expense reports in a timely and accurate manner.
- Stakeholder Engagement: Act as the point of contact for the CTO, building and maintaining strong relationships with both internal and external stakeholders.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
- Support the CTO with any other duties as required.
Qualifications:
- Proven experience as an Executive Assistant, Personal Assistant (within the tech environment), or in a similar role.
- Exceptional organisational and time-management skills.
- Excellent written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to prioritise and multitask effectively in a fast-paced environment.
- High level of discretion, integrity, and professionalism.
- Bachelor’s degree is preferred but not mandatory.
- Flexibility to travel on short notice as required.
- Understanding of the tech department is preferred.
